It’s a new year – Refresh your energy with DropTask

Many of us would admit that we don’t feel energized all day, every day. Some of us find it hard to kick-start our morning and don’t fully wake up until midday, wasting crucial hours. On the other hand, the early birds among us may hit a productivity wall in the afternoon and reach for the coffee to keep going. If you fall into either of these categories, it might be time to re-evaluate your work routine to boost your energy and better manage your tasks.

Of course, getting a decent night’s sleep and eating right can do wonders for your productivity. Combined with DropTask, you can raise your motivation to a whole new level and make task management a breeze. Read on to learn how DropTask will structure your tasks and streamline the way you work, to maximize your energy and help you get the most out of your workday.

Take time to reflect
Take time to reflect

Usually it’s unhealthy to live in the past. However, when it comes to your achievements, it’s worth taking a step back to reflect to give yourself the pat on the back you need to launch yourself into the future. When you find yourself in a work slump, skim through your Completed Tasks to give yourself a little boost of pride at how far you’ve come, and motivate yourself to accomplish more great things. Plus, by taking a closer look at your Completed Tasks, you can identify how they were tackled and if your methods were effective. You can use your tried and tested techniques to build on your previous success and save time and energy in the future. If something didn’t go as planned, you can pinpoint what went wrong and avoid repeating it.

Start and Due Dates
Find your motivation

We all have our energy slumps – we wouldn’t be human if we didn’t. Sometimes things can become repetitive, exhausting and overwhelming, but it’s always possible to bounce back with renewed energy. To avoid these drops in energy, identify the times of day you normally find yourself to be most productive, and when you find yourself struggling. Use Start and Due Dates to schedule tasks that align with your productivity spikes and dips. For example, if you’re more alert in the morning, schedule time for your most important tasks. If you think you are more likely to come up with great ideas in the morning, use that time for tasks such as content writing. If you find that your productivity weans in the afternoon, get stuck into a task that you are looking forward to doing. When the task rolls around, you are likely to find that your interest in the project motivates you to get more stuff done and power through the rest of the day. Once scheduled, your tasks across all of your projects will appear in your Calendar. See your work according to the date that you want to start it or when it’s due to manage your time and tasks effectively.

Pomodoro Checklists and converting to category
Take breaks to boost brainpower

Breaks are crucial to sustaining your energy. Without them, we find ourselves unfocused and drained, resulting in poor quality work and incomplete to-do lists. The Pomodoro Technique is a great way to enhance your focus, while also giving your mind some well-earned rest. The technique consists of working in sprints. It works by you doing concentrated work for 25 minutes, then you take a well-deserved 5-minute break, and then you repeat the process until you’ve completed 4 of these sprints. After each 4-sprint cycle, you take a longer break, perhaps 15-30 minutes, to stretch your legs, grab a snack and recharge. To accomplish larger, more time-consuming tasks, you can use DropTask’s Checklist feature to outline and tick off subtasks. It’s also a great way of seeing where you left off once you return from a break. If the task is large and complex, try Converting it into a Category. This way, you can create smaller tasks within this category to break it down into manageable chunks that are easier to accomplish during each sprint.

Repeated tasks and templates
Streamline your processes

Doing repetitive, mundane tasks can really drain our energy unless they are streamlined properly. Use the Repeated Tasks feature to schedule recurring tasks that are identical in every context (e.g. for payroll, regular bills and weekly reports). Set their status to repeat every day, week, month or year so you never have to worry about scheduling them again. You can also use Templates to semi-automate any projects which require the same actions to be taken, but in a different context, on a regular basis. For example, if you frequently need to plan events, you can save yourself time and energy by creating a project template that has categories like ‘Guest list’, ‘Accommodation’ and ‘Transport’. You never have to start from scratch meaning you can quickly spring into action.

Cover Images
Visually stimulate your mind

A little burst of color goes a long way when you’re desperate for energy. A blank, boring workspace is demotivating, and when you’re already feeling fatigued, it will only serve to make things worse. DropTask’s visually vibrant task circles bring color and imagery into the mix. Try adding Cover Images to your tasks to act as visual reminders of what needs to be done and regain some energy. Experiment with different colors and see how they affect your energy levels. Does red revive you? Does orange stimulate your brain? Make good use of the colors that energize, motivate and inspire you to get things done.

Why you need to use a task management app in 2018

The days where we would spend hours pondering the simple choice of using a pad of sticky notes or notepad are long gone. Now we’re spoiled for choice with task management apps offering us more than a pen and paper ever could. If you’re wondering what the fuss is all about with task management apps and how you may benefit from using one, then we’re here to give you the low down.

Task management apps help us to stay organized, work efficiently, hit deadlines and communicate with others. But why is 2018 the year to start using a task management app? Read on to discover how a tool like DropTask will help you to achieve a better work-life balance and hit your goals in 2018.

Plus, find out below why this year will be especially exciting for this task management tool…

Balance your work-life

Life can get hectic. If you’re struggling to achieve a healthy work-life balance, you’re not alone. To-do lists may start out effective, but can quickly become messy and outdated. It’s difficult to pool together every priority, from both work and home, without feeling overwhelmed. DropTask makes all of that stuff easy. With features such as a built-in Calendar, DropTask helps you balance all the things that are important to what you do and achieve.

DropTask gives you the option to create an unlimited amount of projects. For example, create a project called ‘Groceries,’ ‘KPI Report’ or even ‘Toby’s Schoolwork’. You can create a project for anything. DropTask’s workspace is infinite, which means no matter how many to-dos you’re currently juggling, they will always have a home.

Assessing priorities helps to identify where your time is best spent. By assigning deadlines to each of your tasks, they’ll automatically schedule in your calendar. Task management tools help us to prioritize and focus on what’s important. And, when the majority of us are trying to work full time, build a social life and work on our goals, we could all do with an app that enhances our organization.

Keep up to date – wherever you are

With more and more organizations allowing their teams to work remotely, it’s more important than ever to stay connected. Task management apps are ideal for remote workers. If you’re a remote worker, you’ll know that it’s not always laptop-on-deck chair type of working, you’ll know that maintaining communication is key. It takes a lot of planning for a remote team to work effectively together, and a task management app like DropTask can help.
DropTask streamlines team communication, ensuring you’re always in the loop and still feel a part of the office wherever you are. In the app, you’re able to Comment and Message team members, so there’s no need to worry about missing out on important information. Instant notifications within the app inform you of any new updates that have been made within any team project.

With remote working on the rise, it’s a fact that the way that teams are working together is dramatically changing. With advancements in technology allowing us to stay connected 24/7, we’re able to respond, like, share or comment from our chosen location. The same goes for projects in DropTask. With online and offline capabilities, you’re able to update the progress of shared projects with the tap of a button. Even when a project crosses the finish line, you’ll be able to share a sense of team accomplishment in knowing that you helped get the project across the finish line, together.

Track your goals

According to studies, 92% of people who set goals in the new year never actually achieve them. This shocking statistic proves now more than ever we need task management apps to help us track, manage and achieve our goals. That’s where DropTask comes in. DropTask provides you with a clean slate where you can jot down your goals and achieve them. Writing down your goals is important. Why? It motivates you to take action and enables you to see what you need to work towards.

By defining steps you need to take, you’ll be able to reach your goals at a faster pace. Assign yourself to your goal in DropTask by dragging and dropping your picture onto the vibrant circle. Once you’re assigned to it, it’s time to take action. When you get to work, slide the Progress Bar along to show you’re on the road to completion. This will give you a boost of motivation to keep on moving forward. Summer workplace productivity – how can visual task management help?

Image and video hosting by TinyPic

Ah, the summer. The sun is shining, the air is warm and the days are longer. For many of us, these longer days will be spent in work dreaming of much anticipated holidays. Taking a break can be a great boost for both the worker and the workplace, with productivity often increasing after a well-deserved rest.

However, did you know that during the summer season, workplace productivity can actually decline?

A Captivate study found that summertime has a detrimental effect upon workplace productivity, with employees reporting a 20% drop in overall productivity. With worker’s minds drifting to thoughts of sandy beaches and sun loungers, almost half reported that they are more distracted during this period (45%). Not only that, but the projects that do get completed during the summer have a 13% increase in turnaround time. It would be logical to think that more flexible working hours during the summer may help boost productivity, however Captivate found that this actually exacerbates the problem. Of those employees whose companies offered increased hours Monday-Thursday in order for a shortened Friday, 52% reported a decrease in workplace productivity. It’s not all negative though – those employees whose employers allowed them to work from home reported a 26% rise in productivity levels. Perhaps they used DropTask?! I jest.

So what can be done to beat the summer workplace productivity slump? Well implemented project management for a start, and that’s where DropTask comes in. Here are a few of the ways that visual task management can boost your workplace productivity this summer.

Keeping track of colleague’s holidays

One of the hardest parts of working during the summer is keeping track of everyone’s holidays and time out of the office. With Google Calendar Integration, tasks can be viewed alongside your colleague’s holidays, making it easier to manage tasks as a team.

Home and office become one

With increased numbers of workers telecommuting during the summer, it’s easy to lose track of the tasks of those not in the office. DropTask enables you to see project updates in real time, giving you a clear idea of what all your workmates are doing, no matter where they are. Your tasks will be automatically synced across all your devices too, meaning you’ll never miss a beat. You can also chat to your collaborators and comment on your mutual projects, as well as sharing any handy files with each other.

Regain focus on the task at hand

Too busy thinking about what to pack in your suitcase or trying to work with colleagues whose minds are elsewhere? Having a visual to-do list like DropTask can provide a simple visual reminder of the tasks at hand, along with their current status, priority and effort level. Reminders when tasks are due will keep you on the ball, as well as visual notifications when any changes take place within a project.

Make the return to work less daunting

Sun block? Check. Holiday insurance? Check. Meeting pre-holiday deadlines at work? Check. By visualizing your workload everyday with DropTask, you can be sure to prioritize your workload in order to complete all necessary tasks before you take your break. Your colleagues will be able to see what you’ve completed and what you’re putting on hold until after you return – with just one glance.

Implement the smooth running of your holiday

If you’re too busy mentally planning your holiday whilst at your desk it’s obvious your productivity is going to take a dip. Clear your mind by using DropTask at home to create a holiday organization project and prevent a last minute rush to the passport office. Feeling ultra organized? Use DropTask as a suitcase check list to avoid forgetting anything vital.

Don’t let your productivity take a downturn in the workplace this summer, try utilizing DropTask instead. We promise those poolside cocktails will taste even sweeter knowing that your work commitments are dealt with, and the return to work will be a breeze.
