DropTask Android app – new updates available now!

At DropTask, we’re passionate about giving you the right tools to plan, manage and achieve your project goals. And, with more and more people working remotely, we thought it was only right to give our Android app a little TLC, to ensure you can be productive whenever and wherever you are. So, without further ado, here’s what’s new!

To deliver a smooth and seamless experience, our Android app has undergone a huge update and features a cleaner design, easier navigation and updated functionality.

 

You’ll see that tasks within the Workflow, Completed Tasks and Calendar View now have a new look, with visuals that you’ll be familiar with from our web and desktop apps. This new and optimized design allows tasks to ‘stack’ for more intuitive use of space.

Located in the main menu, you’ll also find the Project Browser, which is great if you’re a manager and are looking for that high level overview of how many tasks are in progress, on hold, or completed, as well as the distribution of workload within the team.

With visual indicators displayed on each project, you’ll be able to determine its health at a single glance. Plus, to make life infinitely easier, you can search and filter by name, last opened or even last updated.

You spend your days working hard, so it’s important to take a moment to appreciate what you’re achieving. If you’re not taking the time to review progress and celebrate wins – no matter what size – you’re more likely to fall out of love with your work. We know you want more control over your project’s Completed Tasks, so our most recent update is giving you exactly that. Plus, it’s time to level-up your productivity with our brand new Achievements. Read on to hear how our latest features will show you the appreciation you deserve for the great work you’re doing.

More control of your Completed Tasks

You spoke, we listened. Depending on the way you want to work, you can now choose whether the tasks you complete will disappear from your project as soon as they’re done or stay there for up to a week. Lots of you love the instant gratification you get from seeing your project clear of completed tasks, inspiring you to focus only on what’s remaining. But, some of you would prefer your completed tasks to stay put for longer. This would give you enough time to review progress so far and see what’s left to do alongside what’s already done, before focusing solely on what lies ahead. Thanks to DropTask’s most recent update, you can now toggle between these two options. We’re giving you total control and the flexibility to work your own way, because that’s how you work best.

To choose your prefered Completed Task visibility, head to your app settings by clicking the cog at the bottom of our dropdown Menu. From here, you can select the number of days you would like to show completed tasks. Learn more about this feature here.

Whichever option you choose, you can always find a library of past successes in Completed Tasks View. Sometimes the road to your end goal can feel long. Looking back over what you’ve accomplished so far will keep your motivation high, your focus sharp and show how your efforts are pushing your project towards completion.

Exciting new updates to DropTask’s desktop apps – available now!

Here at DropTask HQ, we’ve been working hard to bring everyone up to speed with the latest DropTask features. We’ve released a new update for our Mac and Windows desktop apps to give you an instant productivity power-up. Here’s what’s new:

Refreshed user interface and improved usability. Updates to the look and feel of your Canvas bring you a fluid and engaging workspace that’s simple to navigate.

Better offline sync, plus an online/offline indicator. Update your projects on the go, even without Wi-Fi, and trust that your work will be in sync next time you’re back online.

Project Browser menu showing key stats. Gain an instant high-level overview of your current projects that highlights key stats, such as how many tasks are currently in Progress or have been completed.

Copy task links to share. Copy direct links to tasks to share with others so they can instantly hone in on a particular to-do.

Category dropdown in Canvas View. Quickly focus on a particular category in your project by using the easy-to-navigate dropdown categories menu in Canvas View.

List of all recent projects. A list of your latest projects will show you what you’ve been working on most recently, so you can easily navigate between your most active and current projects.

Desktop Notifications. Keep up to date with any changes to your project as they happen, and always stay in the loop.

 

Windows specific updates

As well as the updates above, Windows users will also benefit from:

More layout options. For your convenience, Auto Layout will perform an automatic centralization of your projects and tasks into one, neatly compact area.

Sort your Calendar by Due Date. Prioritize your workload and organize your Calendar so that impending deadlines are your main focus.

Convert tasks to categories. If a task begins to grow, easily turn it into a category to break it down into smaller, more manageable tasks.

Combined with the features at the top of the page, Mac users can enjoy:

Introducing the all-new Project Browser

We recently unveiled our all-new Project Browser, providing effortless navigation to each of your projects, as well as high-level insight into progress, status and who’s involved. Intrigued? Here’s what’s new:

A high-level overview

The Project Browser can be accessed via our redesigned Menu, which has been simplified and improved to give you quick access to various information and functionality such as your in-built Calendar, our powerful integrations with other apps, and resourceful help and support guides.

When you first open the Project Browser, you’ll be presented with a library of all of the projects that you’re involved in. (We’ve also separated them into useful sections such as ‘Active’, ‘Archived’ and ‘Template’ projects, to make it that little bit easier.) We understand that having a view of all projects could easily get out of hand, which is why our new Project Browser gives you snapshots of information at a high-level, with indicators for the number of tasks that are not started, on hold, in progress, completed and overdue – give them some attention!

All of the information displayed to you in the Project Browser is presented in a visual way – ideal if you’ve only got time for a quick glance but need a clear and accurate idea of where things are at. And what’s particularly useful is not only the ability to see how who’s involved in the project, but the scale of their involvement. A discreet number will be displayed on the project member’s avatar, indicating to you and to others, the number of tasks that have been allocated to them.

(Top Tip: Combine this information with the Team Calendar, so you can gain insight into everyone’s upcoming schedule in relation to workload and availability.)


Instantly sort, search and locate

If you’re an avid project creator, we know how difficult it can be to locate specific projects. But don’t worry, because the new Project Browser comes with the additional convenience of functions like the Sorting option, allowing you to effortlessly and efficiently tidy your project library. With options such as ‘Alphabetical’, ‘Last Opened by Me’ and ‘Last Created’’, locating projects is now just as easy as creating them.

Better yet, strengthen your ability to track down projects with the Search function. If you need to promptly access a project, the in-built search will offer you a fast track way to get to what you’re looking for. This makes edits and last-minute adjustments to projects a breeze, as they can be found within an instant.

We’re so excited to introduce you to DropTask 2! We’ve come a long way since DropTask 1, and over the past year we’ve worked on evolving the app’s original capabilities with the vision to transform it into the ultimate productivity solution that’s visual, powerful, and friendly enough for the entire team.  One of our biggest focuses for the new version was to open the path for a clearer way of working, so when you log in the first thing you’ll notice will be our brand new user interface. Designed with simplicity in mind, our improved navigation creates an intuitive user experience for a DropTask pro as well as a beginner, and gives you easy access to all of your projects – including multiple ways to view them.

Filter

With this in mind, it was important that we enhanced the filtering abilities with the addition of extra options, as well as a clear and simple way to access them from all of your main views.

Filtered Tasks

You’re now able to filter your tasks by anything from Keywords and Status (Not Started, In Progress, On Hold), to tasks that hold attachments. This will enhance your ability to find information quickly, so you can concentrate on particular areas of a project at times when less focus is needed on the bigger picture.

Auto-layout

As a further power-up to this ability, we’ve also introduced Auto-Layout, which when activated, pulls all of your tasks to the center of the Canvas with a smooth, synchronized visualization to help you see everything with ease.

Eliminating information overload

Collapse and Expand

When it comes to data management, ‘information overload’ refers to the challenges that one may face with problem solving and decision making when presented with too much information. For example, top-down lists can be overwhelming, and with limited structure, don’t quite allow you to accurately map out what your project might entail in the same way that a visual representation can.

Our brains have a limited means to process and absorb information, which is why we’ve introduced Collapsible Categories.

Expand Tasks

By collapsing individual categories you can eliminate overload to easily digest the information that’s important to you at that time. Your tasks will be discretely hidden, and can be quickly retrieved at any time.

One of the most exciting additions to DropTask is our brand new Workflow View, offering a Kanban-style workspace that will add simplicity to even the most complex project cycles.

Once you’ve unloaded your to-dos into the Canvas, switch to the visual Workflow for more of an agile approach, where categories will form into ‘lanes’ that represent various stages within the project.

Workflow

Categories can represent anything from status and progress, to something more custom to fit your project cycle. If you’re looking to prioritize work to ensure that you maximize your resources, then working with Kanban can help you limit the amount of work that’s in progress and identify where the bottlenecks are within a delivery pipeline. The focus is all on getting things in a ‘done’ and ready-state. You can see an example of this in the image above.

Scheduling and team management

Time management enables us to work smarter, so we can achieve more in less time. In DropTask 2 you can remain one step ahead at all times with the brand new Calendar feature. Plan forward for deadlines, important appointments and must-do errands by simply adding Start Dates and Due Dates to each of your tasks. They’ll be instantly scheduled within your Calendar, where you have the flexibility to toggle between Start and Due so you can easily view your priorities and track what’s next in your journey.

This exciting addition also comes with the ability to view other peoples’ calendars, so you can check on the availability of your entire team and gain an overview of what’s on their plate.  You’ll be able to view another person’s calendar as long as you’re collaborating on a project together.

Avoid information overload with our new-look notification center

Information overload on the computer In today’s digital world, the internet has made it possible to source and deliver information in an instant and connect with others from all around the world. However, as soon as you turn on your device and log online you’re bombarded with emails, messages, news, social networks and reminders which can actually have an adverse effect on your productivity.

Too much information – or ‘information overload’ as it’s commonly known – can lead to interruptions, become unmanageable, create confusion and if nothing else, can drive us mad!

That’s why in the new version of DropTask, we’re transforming our notification center so you can effortlessly manage all task-related information and updates – without getting bogged down! Let’s take a closer look…

See what matters most

New-look notification center in DropTaskTo ensure no important information is lost amongst the abundance of activity that takes place within DropTask, you’ll only be alerted of key changes or updates to your tasks – such as reminders and comments. By reducing the number of notifications received, you’ll find it easy to take necessary action and respond to changes.

Limit interruptions

DropTask hidden notifications for smaller updatesThough some notifications are required and determine next action steps, in many cases you probably don’t need them. So in the new release, notifications for smaller task updates (such as the addition of a subtask or importance flag to a task), will be hidden – reducing distraction and giving you the ability to focus.

 Never miss a thing

dismissed notIn our new release, notifications will wait for as long as you need them to – they’ll only disappear once you’ve seen and actioned them. Even after a notification is cleared, it can still be viewed in the ‘Dismissed‘ section of the app at a later time.
